Carlsbad Landscape design/build company seeking Office Manager/Assistant Landscape Project Coordinator

Office Manager duties will include but are not limited to:

  • Filing — create and maintain customer, vendor and employee files
  • Mail collection and sorting
  • Keep office clean and organized
  • Answer phones and directing call traffic to the appropriate person/resource
  • Use email for communications and accounting purposes

Sales Support/Organization:

  • Update sales boards. LACRM, ICAL and other calendars
  • Schedule meetings and send out confirmations

Assist Project Manager:

  • Create and email purchase orders to subcontractors and vendors
  • Create client invoices
  • Keep in constant communication with project coordinator and manager and have a keen awareness of scheduling logistics
  • All other duties as directed by management. We are a small company. So, everyone here must be open-minded and enthusiastic about performing work that is not specific to the list above.

Educational Requirements:

  • AA degree

Skills:

  • Detail-orientated
  • Excellent communication skills
  • Efficient follow-up
  • Experience with MS office Programs: MS word, MS excel. Experience with QuickBooks.
  • Photoshop and PowerPoint a plus, but not required**

Salary:

  • Commensurate with experience
